    Position Title: Accounting / Administrative Assistant
    Reports To: Accounting Manager
    2nd Supervisor: Vice President, GCI
    Supervises: None
    FLSA Status: Non-Exempt
    Salary Range: Salary is commensurate with experience

    Summary: This key role provides reliable, proactive accounting and administrative support while performing a wide range of tasks to ensure the efficient operation of the organization.


    Primary Responsibilities:
    Accounting support, including but not limited to:
    – Enter accounts payable data into QuickBooks
    – Provide support of accounts receivable activity (invoicing and collections)
    – Prepare vendor payments
    – Maintain filing system
    Training class logistics, including but not limited to:
    – Record student registrations
    – Maintain accurate and up-to-date class enrollment
    – Set up training projects in QuickBooks
    – Issue student invoices
    – Process student payments
    – Record class expenses, including petty cash disbursements
    – Organize classroom materials
    – Order and maintain office and classroom supplies
    – Set up classroom for training classes
    – Order student lunches
    Other administrative support:
    – Answer and direct main phone calls
    – Shipping and receiving, including podcast materials
    – General tasks as needed

    – High school diploma or GED; some college or certification preferred
    – 5-7 years office administration experience required
    – 2 or more years of experience with QuickBooks
    – Advanced proficiency in Microsoft Office applications
    – Experience in managing incoming phone calls
    – Experience handling confidential company information
    – Excellent communication skills
    – Skilled in providing customer service
    – Highly detailed
    – Ability to solve practical problems and deal with a variety of situations
    – Ability to handle multiple competing priorities
    – Preferred experience with Adobe Acrobat Pro
    – Preferred experience with SharePoint


    – Must have valid drivers’ license, current insurance coverage, and reliable transportation and be willing to drive personal vehicle for company business.
    – Hiring is contingent upon successful pass of background check and pre-employment drug tests.

    – Able to sit and work at a computer keyboard for extended periods

    – Able to lift up to 25 pounds occasionally
